How to Use This Template (5-Step Process)

Copy and fill the template

Copy the table above into a spreadsheet (Excel / Google Sheets / Numbers) and fill in your procurement specifications field by field. Leave fields you cannot determine blank and flag them to the supplier for confirmation.

Send to shortlisted suppliers

Send the completed spec sheet to at least 3 shortlisted suppliers and ask them to reply with a quote and feasibility against the same fields. A unified field format makes later side-by-side comparison easier.

Compare quotes side by side

Aggregate supplier replies into the same sheet and compare thickness/width tolerance, conductivity, mechanical properties, lead time, MOQ, COA/COC capability, and price. Ask suppliers to fill in any missing fields before comparing.

Request samples and COA validation

Before placing a production order, request samples and a COA (Certificate of Analysis) against the confirmed spec. For clad conductors (CCA/CCS/NCC), additionally request cross-section micrographs and bending test records.

Lock the spec and archive

After confirmation, attach the spec sheet to the purchase order and reference the same specification number on each subsequent order to prevent specification drift.

10 Common Specification Mistakes to Avoid

  • Specifying thickness and width without tolerance — suppliers may ship to industry default tolerance, causing solder-yield variation
  • Specifying "tinned" without coating thickness — 5 μm and 25 μm differ significantly in solderability and cost
  • Specifying "good conductivity" without an %IACS value — "good" is not a measurable acceptance criterion
  • Specifying annual volume without order frequency — suppliers cannot plan scheduling or raw-material stocking
  • Specifying destination country without port and Incoterms — quotes bundle freight, insurance, and duties inconsistently
  • Not stating COA/COC requirements — no lot-level traceability evidence at incoming inspection
  • Not referencing any industry standard — suppliers may produce to "custom specs" with poor cross-plant interchangeability
